The work

What this looks like in practice.

Administrative work is rarely the thing that makes a business money, and it is almost always the thing that decides whether the week holds together. Diaries get double-booked. An inbox becomes a to-do list nobody wrote. Files end up in four places, and the version everyone is working from is the one somebody emailed on Tuesday. None of it is difficult. All of it takes time, and it takes that time from whoever is least able to spare it.

A Nira administrative professional takes that daily run of the business off your desk. In practice that means owning the calendar — booking, moving, protecting the blocks that matter and making sure meetings arrive with an agenda attached. It means triaging the inbox so what reaches you is the part that genuinely needs you, and what does not gets answered, filed or chased without a second thought from you. It means paperwork handled and documents kept somewhere findable, in a structure that survives someone being on leave.

The work is deliberately unglamorous, and it compounds. A week with the admin handled is a week where the follow-up actually happens, the quote goes out the same day, and the thing you meant to think about on Wednesday morning still has Wednesday morning available to it.

How it is set up. Support is matched to the role rather than to a job title, so the first conversation is about what your week contains, not about which package to buy. From there a professional is matched from Nira’s vetted network, and the same person stays with the engagement — administrative support is a job that gets materially better in month three than it was in week one, which is only true if the person doing it does not change. The full sequence, from intro call to onboarding, is set out on how we work.

Where it goes next. Most businesses start here and grow into something wider — customer response, CRM upkeep, coordination across suppliers and projects. If you are looking for the role rather than the category, the hire a virtual assistant page covers the same ground from that angle. Sector-heavy administration — matter files, listings, reconciliation chasing — is covered on the industries pages, where the work has its own vocabulary and someone who already knows it starts useful sooner.

Nira’s professionals work from South Africa, on hours agreed in advance rather than on ours. The case for why that arrangement suits this kind of support particularly well — including a time-zone offset that never shifts — is set out in full on why South Africa.

Questions

Before you enquire.

  • Who is administrative support right for?

Founders and small teams whose day is getting eaten by the admin around the work rather than the work itself — calendars, inboxes, paperwork and the follow-ups that fall through the cracks. It is the most common place to start, and the easiest to hand over first.

  • How long before someone is working unsupervised?

That depends on how much of the process already exists in writing. Most engagements start with a professional working alongside you on a defined slice — the calendar, or the inbox — and widening from there as the way you do things gets documented. The point of the first few weeks is to build that record, not to get everything covered at once.

  • How is administrative support priced?

By the level of support rather than by the task. Nira Focus is 15 hours a week, Nira Elevate 30 and Nira Signature 40, from $10/hour. We recommend a level on a complimentary 15-minute discovery call, once we know what the week actually contains.
